      Top SME Project and Task Management Solution: ActiveCollab

      I've tested various task management software for our company, but none met my expectations due to their limited options for managing workload, time, and invoice calculations. Their workflows were also too complex for non-technical users. However, ActiveCollab has a very simple UI and design. With just a day or two of training, anyone can understand it. Its workload segment is straightforward and essential. The support team is also excellent. Most importantly, it offers self-hosted options, which are a top priority for us due to data security and privacy concerns, and it also helps us reduce costs for our users. However, the Android app needs improvement as it doesn't match the desktop web version. I chose ActiveCollab because self-hosted options were not available in Proofhub, and data security and privacy are significant concerns for us. Plus, ActiveCollab's design is much simpler.

      ActiveCollab seemed like a great product during the trial period. However, once the trial ended, the user-friendly access disappeared and was replaced with technically complicated steps to upload data to our server. Despite the friendly staff at ActiveCollab, it took weeks to get it up and running. Even then, it only worked externally; I couldn't access it from the office. Now, I've been unable to log in for weeks as I'm not recognized as a user and my email address can't recover a new password. I wouldn't recommend buying this. Instead, use Google Drive. It may have fewer features, but it also causes less trouble.

      More Than Just Project Management! Excellent Time Tracking and Client Reporting!

      I appreciate the time tracking feature of ActiveCollab as it allows us to monitor our time down to the specific task within projects and label each project by client. We can invoice clients based on the time we've specifically tracked for each task and project. This tracking also allows us to report to our clients, even informing them of the time spent on each task. The customer service is also impressive. When a team member suggested new features or revised functionality, updates were made fairly quickly. However, I would prefer a different organization of the projects, ideally by client on the main page. The main page is currently less organized than I would like. We switched to ActiveCollab because we needed some different and more advanced features.

As part of a creative agency, swift and efficient communication with our clients is crucial, and ActiveCollab facilitates this. We use it to establish standard brief templates for every project, smoothing the process. The time tracker is excellent and provides an easy way to monitor time. I value the email notifications, particularly the ability to respond to comments via email. The support staff is always accessible and helpful. The invoicing functionality is impressive, but it could use some improvements in sorting and display capabilities. My wife has pointed out that the app lacks functionality, but I haven't used it much personally. I find the 'Notes', 'Files', and 'Discussions' tabs a bit random and confusing for clients. I would also appreciate a feature that integrates something like Slack into Active Collab, so we can completely transition away from Skype.

Despite advertising a monthly cost of only $7.50, these essential features required additional payment, which was not made clear upfront. My experience with their customer service was also negative. The responses I received were in poor English, which was surprising for an international app. One customer service representative, Darla, was particularly unhelpful and rude. I chose ActiveCollab because it seemed to be the most affordable option for managing my projects, finances, and clients from one place. I switched to it because I wanted to.
